Association agreements, project accesses and email domains
It is the institution's responsibility to continuously manage association agreements and project accesses, and to approve email domains in the DDV App. This includes ensuring that only relevant users are affiliated with the institution and have access to the individual projects, and that the approved email domains remain correct.
Manage association agreements
An association agreement links a user to your institution. An Administrator can affiliate users with the institution. Association agreements must be approved by a Responsible for authorisation or a Substitute.
Create an association agreement
- Go to My overview and select the institution with which the user is to be affiliated.
- Select the Associated users tab and click the plus icon next to the heading.
- Search for the user, select the person and click Create association agreement.
- A Responsible for authorisation or a Substitute must approve the agreement under Association agreements awaiting approval.
If the user does not already exist in the DDV App, select New user and complete the form.
Denmark's Data Portal processes requests for new users on weekdays. Once the request has been approved, the association agreement must be approved by a Responsible for authorisation or a Substitute.
Terminate an association agreement
A Responsible for authorisation or a Substitute can terminate an association agreement when the user no longer needs to be affiliated with the institution.
Go to My overview, select institution and go to Associated users. Find the user, click the three dots next to the name and select Terminate.
Manage project accesses
An Administrator can grant an affiliated user access to a project:
- Go to the relevant project in the DDV App, select the Project access tab and click the plus icon next to the heading.
- Find the user in the list of available users and click Select. Select May transfer if the user is to have permission to transfer data. Finish by clicking Save.
To terminate a project access, go to the relevant project and select the Project access tab. Find the user, click the three dots next to the user and select Terminate project access.
Manage email domains
The Responsible for authorisation or the Substitute manages the institution's approved email domains. Only create email domains that the institution controls.
- Go to My overview and select the relevant institution.
- Click the three dots next to the institution's name and select Administrate email domains.
- Click the plus icon next to Approved email domains.
- Enter the domain name under the text field Define email domaine.
It is not necessary to create subdomains. If a user has an email address on a domain that has already been approved by another institution, the user can be affiliated without creating the domain again under your institution.
