Log onto Denmark's Data Portal

I need to log on to Denmark's Data Portal for the first time – how do I get in?

Before you can access Denmark's Data Portal, you need to log on to remote.dst.dk.

As part of the creation of your user account for Denmark's Data Portal, you have received an email with instructions on how to log on to the remote. Once logged on to the remote, click on "Danmarks Datavindue". The first time you log on to Denmark's Data Portal, press "Help" and choose "Reset Password" here. Then enter your 3-4 character ID (without numbers). You will receive a security code at the email address provided under your ID. After selecting a new password, you can access Denmark's Data Portal.

I have entered my code incorrectly and am locked out - how long will I be locked out?

Wait for 30 minutes and then try again.

I am experiencing technical issues in Denmark's Data Portal - who do I contact?

If you encounter technical problems or errors with Denmark's Data Portal, we would like to hear about it so we can address them. You can write directly to DDVsupport@dst.dk Provide your username, the relevant institution number, and any project number, and describe the problem – preferably with a short step-by-step explanation and accompanying screenshots. Denmark's Data Portal Support will address the issue as soon as possible.

I have trouble logging onto the remote - who do I contact?

Roles in Denmark’s Data Portal

User

This is the basic role for external users. This role provides access to information about the entities the user is associated with, and the user has the option to edit their own information. Contact an administrator or the responsible for authorization if you wish to be registered as a user under an authorized institution.

Administator

In Denmark's Data Portal, the institution's administrator is responsible for approving and submitting all project proposals for the institution to Statistics Denmark. The administrator acts as an internal approver each time a project proposal needs to be submitted or resubmitted. Their task is to quality-assure the content of the institution's project proposals to comply with the form and requirements of the GDPR regulations. This means that an administrator should be available and expected to use Denmark's Data Portal regularly. Additionally, the administrator should contact Research Service if the institution wants to create a new user. An institution must always have at least one administrator, but it is recommended to designate a minimum of two administrators. This is because some tasks in Denmark's Data Portal can only be performed by an administrator, and a given administrator cannot manage themselves.

Signatory

Individuals with the signatory role can, on behalf of the institution, sign a project proposal as legal according to Article 6 of the General Data Protection Regulation.

Once your project proposal has been approved, it will be signed by an employee in Research Service. Afterwards, the project's contact person, the administrator, or the authorized person who submitted the setting and the selected signatory will receive an email with information that your project proposal has been approved and signed. It is now your turn to sign the project proposal. Only users assigned the signatory role can sign project proposals.

The signatory role is assigned by the responsible for authorization or their substitute.

Please note that it is a requirement that individuals with the signatory role are formally employed at the institution where they hold the signatory role.

There are no limitations on the number of users who can have the signatory role.

Contact Person

A user with access to a project has the role of contact person for the project. A project can only have one contact person. The administrator can change a project's contact person.

Contact Person with Authority

An institution can choose to give a contact person authorities similar to the administrators on the projects where the user are a contact person. If a contact person has authority, the role is limited to the institutions the user is associated with, where authority is given, and the projects the user is a contact person on. If you, as the responsible for authorization, want this solution, contact Research Service.

Responsible for Authorization

This is the user that is responsible for an institution's authorization under microdata schemes at Statistics Denmark. This person approves association agreements under the authorization.

Statistics Denmark Project Owner

When you submit a new project to Research Service, you will be assigned a project owner, which is a person with whom you will have direct contact. We strive to respond to your inquiries as quickly as possible, and you can see the average processing times here

Who can edit user information in Denmark's Data Portal?

Individual users can update their user information in Denmark's Data Portal themselves. This may be relevant, for example, if a user changes workplaces and wants to update the email address on their user account. If an association agreement needs to be terminated, this can be done by the user themselves, the institution's administrator, the responsible for authorization, or their substitute.

Do I need to add all users to the project one by one?

Yes, all new users must be added one by one. All users from earlier on should already be added to the project.

Where do I sign the project proposal?

Step 1) When you have submitted your project proposal to Research Service, it will be processed by an employee who will assess whether the proposal can be approved. Once your project proposal has been approved, it will be signed by an employee in Research Service.

Step 2) Now it's your turn to sign the project proposal. The designated signatory/signatories must sign the project proposal in Denmark's Data Portal.

Step 3) If you want to sign the project proposal, log in to Denmark's Data Portal. On the home page, click "My Overview," followed by "Project Proposals for Signing". Here, you will see all the project proposals ready to be signed by you. Click on the project proposal you want to sign. If you wish to sign the project proposal, click the blue button "Sign."

Can I make corrections to the project proposal after it has been sent to the administrator/Statistics Denmark?

No, once you have submitted the project proposal to your administrator or to Statistics Denmark, you can no longer make corrections. If your Statistics Denmark project owner has questions or comments about the proposal, you can make corrections before resubmitting the proposal.

Can I associate users after the proposal has been sent to the administrator/Statistics Denmark?

No, once you have submitted the project proposal to your administrator or to Statistics Denmark, you can no longer associate users. After you have received the project proposal back, either approved or for revision, you can associate users.

Where can I get an overview of registers and when they are updated?

In the overview of registers and variables, you can see all the registers that are part of the register database in Statistics Denmark. Here, you can see both the register abbreviation and title, when the registers were created and possibly closed, as well as how often they are updated. If you click on the register abbreviation on the far left (written in blue), you can see which variables the register covers. In the register overview, you can use the Ctrl+F function to search between the registers using both the register abbreviation and title.

Can I order data in Denmark's Data Window that has not yet been published?

It is only possible to order data that has not yet been published for project databases and main projects of authorities.

How do I add my own data to my project?

Data that is not from Statistics Denmark's register database should be described broadly under "other data" in the proposal. Details about the data should be elaborated in an attachment sent via email to your project manager. Reference to the attachment should be made under "other data."

It is currently not possible in Denmark's Data Portal to upload variable descriptions for your own data. These should be sent in an email to the project owner, with the project number specified in the subject field.

Where is my project proposal in the process?

A project proposal changes status depending on where it is in the process. You should be aware that your project owner or customer team will only be notified of your proposal when the administrator sends it to Statistics Denmark.

A proposal can have the following statuses:

Created: A project proposal has been created and is under development.

Sent to the Administrator: The project proposal is ready for the administrator to review.

Sent to Statistics Denmark: The project proposal is ready, and the administrator has sent it to Research Service. At this status, it is assigned a project owner at Statistics Denmark if it is a new project or a project with a former Research Service employee.

Under Revision: The administrator or FSE project owner has questions or comments about the submitted proposal, so they have sent it back to the project’s users. Questions and comments can either be seen in the proposal or sent via email.

Pre-approved: The FSE project owner has pre-approved the project proposal, and now it must be signed by the authorized institution.

Approved: The project proposal has been approved by the head of Research Service, and it is now possible to proceed with ordering (e.g., contract preparation, data delivery).

Data Delivered: The task is complete and will be invoiced.

My project proposal has not been approved - what do I do?

Your project owner in Research Service may have comments or questions about your project proposal, so you will receive your proposal back for revision. You can see the comments under the relevant sections in the proposal. Once you have corrected the project proposal, you can resubmit it through Denmark's Data Portal.

How do I create a resubmission in Denmark's Data Portal?

Do I need to add the previously approved registers and variables when creating a resubmission of an approved project created before Denmark's Data Portal?

Yes you do, because there can only be one valid project proposal, and all data must be documented in the valid project proposal. Therefore, the resubmission must be filled out with all information.

Do I need to create a new population every time I need to create a resubmission of my project?

A new population section should only be created if the population changes significantly, for example, if it is created with different criteria’s or if a submitted population is defined differently from the previous one. Remember that all changes in the already approved proposal are automatically marked in yellow in Denmark's Data Portal.

If the population needs to be expanded and have the same register extract as the original population, you can add it to the description of the original population and mark the changes in yellow. You can do this as well if the data from sources other than Statistics Denmark needs to be added under the "Other Data" section.

How do I change my project's end date?

If you are an administrator, you have the option to change the project's end date. When you have clicked into the relevant project, then click the three dots to the right of the project title. You can now specify a new end date for the project.

I created a project under the researcher scheme, but it should have been created under the project database. What do I do?

Create a new project under the project database with the same information. Afterward, your institution's administrator can approve the deletion of the "incorrectly" created project under the researcher scheme.

How do I approve a project for termination?

If you are an administrator, you have the option to initiate the termination process for a project. You do this by clicking into the project, and press the three dots to the right of the project title. You can now indicate that you approve the project's termination.

The project's Statistics Denmark owner does not have the rights to approve a termination.

Project owner, expected delivery and price

When will I be assigned a project owner for my newly created project?

You will be assigned a project owner at the latest when your administrator submits the project proposal for approval to Research Service. If you have questions earlier in the process, you can send an email to your institution's customer team, specifying the project number in the subject line and indicating that you would like a project owner. In the email, you can ask any questions you may have.

How long can I expect delivery time before I receive my data?

Feel free to ask your project owner at Research Service how long they expect the delivery time to be. The delivery time depends on the individual project.

How do I see the price for my data order before placing the order?

When the administrator, via Denmark's Data Portal, has submitted the project proposal and data order to Research Service, the project owner at Research Service will be able to prepare a price offer. This offer will be sent by email to the administrator and the project's contact person. It is not possible to see the price in Denmark's Data Portal.

Physical token

A token is a physical device used for two-factor authentication. With two-factor authentication, you first log on to Remote.dst.dk with your three/four-character IDENT and PIN code. Afterward, you are required to confirm your identity using the unique security code displayed on your token.

The token type can be an SMS token, where you receive the security code via SMS. Alternatively, you can choose a physical token. In that case, Research Service will send a small physical device that displays the unique security code during login. When requesting a physical token, you need to provide a delivery address (e.g., institutional) and the full name of the person to be set as ATT.

Please note that we do not send to addresses outside Denmark.

If you choose a physical token, you are associated with the project only after receiving your token by mail.

Guidelines for users eligible to receive a physical token:

  • Users without a Danish mobile number can receive a physical token.
  • Users traveling to a destination where Danish SMS messages take a long time to reach (e.g., African countries or New Zealand) can receive a physical token.
  • Users traveling to a European country or the USA with a Danish mobile can still use an SMS token.
  • Users opting for a physical token for convenience should, as a rule of thumb, use an SMS token. The costs associated with a physical token are significantly higher than an SMS token.
